Description
Working with the TGFW Operation Manager, Compliance Manager and Executive Director, you are expected to develop rosters and routines for TGFW program. This involves meticulous planning and regular communication with staff, residents, volunteers, and stakeholders of The Glen.
- You are expected to ensure one-pagers are developed for program components in the weekly routine.
- You are expected to utilise client led activities each week (and support clients to succeed).
- You are expected to maintain great calendar management.
- You are expected to use innovation and be creative in routine development.
- You are expected to support staff to understand their roster each week and carry out their responsibilities in implementing the weekly routine activity successfully. This includes program development encouraging the clinical team to plan and implement activities (including monitoring development and use of one-pagers).
- You are expected to develop the weekly routine balance as per the ADARRN model of care
- Plan events, committee meetings, client surveys & reporting (a month in advance)
- Monitor the operational budget on a monthly basis and adjust program spend as required.
- Participate in assessment of complex clients applying to The Glen for Women as required and work with the Assessment team to arrange for suitable applicants to be invited into The Glen for Women.
Operational Responsibilities
- Have a deep understanding of policies and procedures and how they impact operations & ultimately clients. TGFW Program Manager is responsible for ensuring that all policies are always followed.
- Responsible for working with The Glen Group leadership team to drive Quality Improvement within The Glen Group and ensure the organisation maintains its accreditation.
Stakeholder Management/Community
- Monitor, review, and build a pool of stakeholders to support The Glen for Women clients in the program. TGFW Program Manager should help maintain good relationships with all stakeholders and understand the importance of stakeholders in our client’s journey.
- Upon review, stakeholders who are no longer required should be notified and any gaps requiring stakeholder support should be filled.
- Support the Clinical Team to manage all specialised clinicians including the relationships with psychologists, grief/trauma & gambling counsellors, parenting programs etc.
- Participate in and plan TGFW involvement in community activities.
- Represent The Glen on certain community and sector panels/boards and events.
- Post regularly on social media (by social media guidelines)
Safety
- Be an active member of the WHS Committee for The Glen Group and be regularly championing and communicating re: safety to both staff and residents of The Glen.
- Support the staff and clients completing the monthly fire safety drill
- Support TGFW staff to understand the security systems and processes
Reporting
- Work with Compliance Manager and Executive Director to extract monthly/quarterly reporting including client stories from Mimaso
- Approve travel reimbursements for volunteers
Requirement
Qualifications in Counselling, Drug and Alcohol or Community Services or any other relevant qualifications
- Previous experience of managing diverse relationships (particularly community stakeholders)
- Understanding of technological innovations, and how to implement them into an organisation.
- Leadership & communication skills
- Excellent computer & technology skills
- Experience in running group sessions and case management
- Experience and an understanding of trauma informed practice and holistic healing
